Introduction

This Recruitment Policy sets out the principles CaseXpert (“we”, “us”, or “our”) follows when supporting recruitment and background verification processes for our clients, candidates, and partners. It should be read alongside our Privacy Policy and Cookie Policy.

Our goal is to help organisations make informed hiring decisions while treating candidates fairly, respecting their rights, and maintaining the highest standards of accuracy, confidentiality, and compliance.

Scope & applicability

This policy applies to:

  1. Background verification checks conducted by CaseXpert on behalf of client organisations during pre-employment and ongoing employment screening.
  2. Candidates and employees whose information is submitted for verification through our platform or managed services.
  3. Client organisations, HR teams, and authorised representatives who initiate or manage verification requests.
  4. CaseXpert’s own recruitment and hiring activities, as described in Section 9 of this policy.

Verification is performed only within the scope authorised by the client and, where required, with the candidate’s informed consent.

Fair & non-discriminatory hiring

CaseXpert is committed to supporting recruitment practices that are fair, objective, and free from unlawful discrimination. Background verification should be used as one component of a broader hiring decision — not as the sole basis for employment outcomes.

We expect clients to:

  1. Apply verification consistently across comparable roles and candidate cohorts.
  2. Request only checks that are relevant and proportionate to the role being filled.
  3. Comply with applicable employment, anti-discrimination, and data protection laws.
  4. Provide candidates with clear information about the checks being conducted and how results may be used.

Background verification standards

When conducting verification checks, CaseXpert follows these standards:

  1. Accuracy — information is verified against reliable sources and documented with appropriate audit trails.
  2. Relevance — checks are limited to what the client has requested and what is necessary for the stated purpose.
  3. Timeliness — verifications are completed within agreed service levels wherever reasonably possible.
  4. Confidentiality — candidate information is accessible only to authorised personnel on a need-to-know basis.
  5. Compliance — workflows are designed to align with applicable Indian data protection requirements, including the Digital Personal Data Protection Act (DPDPA), and other relevant regulations.

Verification outcomes are reported factually. We do not make final employment decisions on behalf of clients.

Accuracy & dispute resolution

If a discrepancy or adverse finding is identified during verification, it is documented clearly and reported to the client. Where appropriate, candidates are given the opportunity to clarify, provide supporting evidence, or submit corrected information before a final conclusion is reached.

Candidates who believe information held about them is inaccurate may:

  1. Contact the hiring organisation that initiated the verification.
  2. Submit corrected details or supporting documents for re-verification, where applicable.
  3. Contact CaseXpert at info@casexpert.app if they need assistance understanding the verification process.

We work with clients to resolve factual disputes promptly and in accordance with contractual and legal obligations.

Data protection during recruitment

Personal data collected during recruitment and verification is handled in accordance with our Privacy Policy and applicable data protection laws.

Key principles include:

  1. Processing candidate data only for authorised verification purposes.
  2. Applying technical and organisational security measures to protect data in transit and at rest.
  3. Retaining verification records only for as long as necessary to fulfil contractual obligations and legal requirements.
  4. Restricting access to authorised staff and approved subprocessors bound by confidentiality obligations.

Candidates should refer to the hiring organisation’s privacy notice for details on how their personal data is collected, used, and shared during recruitment.

Client & partner obligations

Organisations using CaseXpert verification services agree to:

  1. Obtain valid consent or establish another lawful basis before submitting candidate information.
  2. Provide accurate and complete candidate details at the point of submission.
  3. Use verification results lawfully and only for legitimate hiring or employment-related purposes.
  4. Inform candidates of verification outcomes that may affect employment decisions, where required by law.
  5. Cooperate in resolving disputes, re-verifications, and regulatory enquiries relating to checks they initiate.

We reserve the right to decline or suspend verification requests that appear incomplete, unauthorised, or inconsistent with this policy or applicable law.
